I run a small web design business and send quotes to clients all the time, but my PDFs look plain and a bit amateurish next to what I see from bigger agencies. Logo placement, fonts and tables never quite line up the way I want, and I’m working from a laptop with limited design experience. I want quotes that look polished and professional without spending hours on each one.
That is annoyingly easy to overthink. I’d make one clean template with your logo in the header, one sans-serif font, plenty of white space, and a simple two-column pricing table, then only change the client details and scope each time. I mark up tutoring sheets on an old laptop, and consistent spacing matters more than fancy graphics. Export a test PDF and check it at 100% before sending.
Had the same issue with our field reports looking cheap. I started using a simple Word template with our logo locked in the header and a table for line items that I just copy each time. Export to PDF from there and it lines up pretty well without extra design software. Not sure if that fits web quotes but it cut my time a lot.
