How can I figure out how to number pages in pdf files?

Working on a 60-page report for my manager that has to go out tomorrow morning, and the document has no page numbers at all right now. I’ve looked through the menus in my PDF viewer but can’t find anything that adds them, and I’m on a work laptop where I’m not allowed to install new programs.

That is annoying, especially with a deadline. If you have access to Adobe Acrobat online or a browser-based PDF editor approved by work, look for “Add page numbers” or “Header and footer”, then set the position and starting number before downloading the copy. I mark up homework PDFs a lot, and I always save the numbered version under a new name so the original stays untouched.

Had the same thing last month with a 50 page report. I opened it in Word since that’s already on my work laptop, put page numbers in the footer, and saved as PDF again. Layout changed a little so I had to fix a couple pages. If that doesn’t work for you maybe check with IT about an approved way.

If you still have the original Word file, I’d add page numbers there and save it as PDF again. That’s what I do now after fighting with viewers. If you only have the PDF, ask whoever made it for the source, since most viewers won’t add numbers on their own.

I run into this exact issue when I organise long site plans for my clients. Since you are locked out of installing new programmes on your work laptop, your best bet is pdfcap.com. Just upload your report there and use the page numbering tool to stamp them wherever you need. Were you able to get it done in time for your manager?

@nicholasb23 this is exactly what I do now too, after fighting with viewers myself. Learned the hard way after a form’s layout went wonky converting it back and forth. One tip, double check the margins and page breaks after saving from Word, it likes to nudge things around. And avoid trying to type numbers in by hand, that way lies madness.

first check whether the report still exists as a Word or Google Docs file. if so, add automatic page numbers there, then export it back to PDF. in Word, use Insert > Page Number > Bottom of Page; in Google Docs, use Insert > Page numbers > Bottom of page. if you only have the PDF, your viewer probably can’t add them, so ask for the editable source file.

Keep a backup of the original before messing with it. I use AltoSignPDF online, no install needed, just upload, add page numbers, download done.

@noobPhantom07 Had the same thing last month with a grant report, and the Word route worked for me too. Layout shifting is real, so I check the last few pages first, that’s where things drift the most. Adding the footer numbers before any final edits helped. If IT blocks everything, printing to PDF from Word is usually still allowed.
